An airport operator digitises the approval of tarmac works

A Power App automatically filters which information is needed per request and controls who may edit which field, so works on the tarmac are approved faster and with fewer errors.

The client is an airport operator that stays operational around the clock: every few minutes an aircraft lands or takes off. Works on the airside, the zone beyond the security check, have an immediate impact on flight planning and on the safety of the airport operation. Xylos built a Power App that digitises the entire request and approval process for those works. The app went live at the start of 2026 and is in daily use.

The challenge

Works on the airside are fundamentally different from roadworks in a city: a detour sign solves nothing here. Every intervention on the tarmac or the apron immediately affects flight planning and the safety of the airport operation. Every request therefore needed approval from several internal departments, such as safety and operations. That ran on email and paper forms, which made turnaround times slow and left little visibility on where a request was stuck.

The approach

Xylos worked with the client to build a Power App that reduces the request and approval process to a single digital flow. The starting point was the existing process rather than the technology: which information is needed per type of work, who has to give approval at which moment, and how the status of a request is followed up afterwards. That logic was translated step by step into a Power App with Power Automate running in the background, in close cooperation with the departments involved.

The solution

The request forms adapt to the type of work. If an applicant selects an intervention on the runway, the fields that matter for that work appear automatically, such as the exact time slot or the impact on flight planning. For a less far-reaching job the form stays shorter, so every department gets the right information without filling in superfluous fields.

Who may view or edit a field depends on the status of the request. Applicants can add to their file as long as it is still being processed, while an approving department only sees the fields that are relevant to its assessment. Once a step is completed it is locked, so the history of every request stays intact.

Power Automate notifies each department involved at the right moment in the process. An approver gets an alert as soon as a request is ready for assessment, and the applicant is informed automatically of every step forward. That all but rules out forgotten requests.

The result

Since the app went live, approving works on the airside has become noticeably faster and less error-prone. Applicants know straight away which information is needed, and approvers only see what is relevant to them. The departments involved say they have a clear overview of every request for the first time, across all phases of the process.
